K7 Adventures - Terms and Conditions 2026

These terms and conditions form part of an agreement between K7 Adventures Pty Ltd (ABN [15664877927]) ("we", "our" or "the Company") and the guest(s) referred to in the booking form ("you", "your" or the "guest").

1. How to Book

You may check availability and make a booking through our website, by calling, or emailing our reservations team. A deposit of $500 per person is required to confirm your booking for multi-day retreats and tours.

Once your booking has been made, you'll receive a booking confirmation email and you'll be asked to complete your guest information via our online portal. All guests travelling who are aged 18 or over must complete this information themselves. For all guests aged 17 or under, the information must be completed by a parent or legal guardian.

By making a booking, you agree and accept our terms and conditions, including the terms and conditions set out in this document. If you are booking on behalf of another person, we rely on the authority of the person making the booking to act on behalf of any other traveller on the booking and that person will bind all such travellers to these terms and conditions.

If you are not ready to make a booking, but would like to hold spaces whilst you finalise your plans, we can arrange that as well. Please discuss with our reservations team.

2. Pricing

The prices quoted on our website are the most current prices and are subject to minimum numbers and seasonal demand. The prices quoted cover (and only cover) the following inclusions as specified for each retreat or tour. Any costs not specified as inclusions are to be borne by you.

Typical inclusions may include:

  • Pick up and return from the designated collection and return point

  • Transport to and from the activity location

  • Accommodation (as specified per retreat/tour)

  • Meals and beverages (as specified per retreat/tour)

  • All National Park entry fees and permits

  • Qualified guides and facilitators for the duration of the experience

  • Use of specialized equipment where specified

Typical exclusions include (but are not limited to):

  • Travel insurance

  • Pre and post retreat/tour travel arrangements, including accommodation and transport to/from collection points

  • Spa treatments, massages, or wellness services unless specifically included

  • Personal equipment purchases

  • Medical expenses and emergency evacuations

  • Items of a personal nature

  • Tips and gratuities

  • Alcoholic beverages unless specified as included

No price reduction is available for guests who choose not to avail themselves of included food, beverages, or activities.

3. Single Supplement

Most of our accommodation is twin share and our retreat prices are based on twin share (two people sharing one room). Solo travellers are always welcome and if a single room is requested, a supplementary price will apply - please check the pricing page on the website to see rates.

Solo travellers can also choose to be matched with another solo traveller and only pay the twin share price. Requests for single supplement must be stipulated at the time of booking.

4. Public Holiday Surcharge

If your departure falls on a public holiday, an additional $100 surcharge per person is applied to cover the increased cost of operation.

5. Payment

All pricing is in Australian dollars.

Multi-day Retreats & Tours

DEPOSIT: Bookings are not confirmed until your booking has been confirmed by the Company. A deposit of $500 per person must be paid at the time the tentative booking is made.

FINAL PAYMENT: The balance of the booking price is payable to the Company at least 90 days prior to departure. For reservations made 90 days or less from the departure date, full payment is due at the time of booking.

Single-day Tours

DEPOSIT: A 20% deposit is required to secure your booking.

FINAL PAYMENT: The remaining balance must be paid in full no later than 48 hours prior to the trip date. This payment will be taken automatically if you booked through our online booking service.

Payment Methods

Payment may be made by credit card or Australian debit cards. We do not accept payment by any other method, including cheque or foreign debit cards.

Payment processing fees:

  • No fee for direct deposit or Australian Visa or MasterCard "debit" cards

  • 1.5% fee for Australian Visa and MasterCard "credit" cards

  • 2.5% fee for all foreign Visa and MasterCard "credit" cards

  • 3% fee for all American Express cards

All payment fees are subject to change. The payment fees specified on our website are the most current.

Once you have paid the required deposit for your booking, any subsequent discounts or price reductions that are advertised by the Company or any third party will not be applied retrospectively.

6. Cancellation by Guest

Multi-day Retreats & Tours

If you wish to cancel your booking, you must notify the Company in writing as soon as possible. Once the Company receives your notice, cancellation will take effect subject to the following:

  • The date of cancellation is the date that the Company receives written notice of the cancellation

  • If the cancellation is made:

    • More than 90 days from the scheduled departure date: a fee of $350 per person will be charged with the balance payment refunded to you

    • Between 90 and 60 days prior to departure: you will be charged 50% of the full trip cost with the balance refunded to you

    • Within 60 days of departure: no refund is available

Single-day Tours

  • Cancellations made 30 or more days before the trip: You may cancel and receive a full refund minus the deposit. The deposit becomes non-refundable after 30 days from booking.

  • Cancellations made within 30 days: Deposit is non-refundable, but bookings can be transferred once, free of charge, within a year of the original booking date, provided the transfer request is made at least 14 days prior to the departure date.

  • Cancellations made within 48 hours of the trip: No refund will be issued.

General Cancellation Conditions

Cancellation by the guest will also take effect if:

  • You fail to arrive at the pre-arranged meeting place at the time stipulated by the Company

  • Your payment of the balance of the booking is not received by the Company by the required time as stipulated in condition 5

No refund will be paid if you:

  • Voluntarily leave your retreat/tour after it has commenced, including (without limitation) for reasons of bereavement, injury or illness

  • Are directed by the Company to leave or not commence your retreat/tour in accordance with these terms and conditions

The Company reserves the right to not provide a refund if you arrive on the day of departure with inappropriate equipment or footwear and are unable to safely participate.

We strongly recommend that all guests obtain suitable travel insurance.

7. Booking Amendment by Guest

Multi-day Retreats & Tours

If you wish to change your booking, you must notify the Company in writing as soon as possible. Once the Company receives your notice, the change will take effect subject to the following:

  • One amendment can be made to your original booking, up to 90 days prior to the date of departure, at no cost

  • A $200 per person fee will be charged for any further amendments made 90 days or more prior to the departure date

  • For booking changes made between 60 and 90 days prior to departure, there is a $350 per person charge to change the departure date

  • We do not accept changes to bookings within 60 days of departure

Changes to your retreat departure date, or transfer of booking to a different retreat experience may incur additional costs payable by you for any difference in pricing. We will do our best to change your booking to your preferred date, but it may not always be possible.

Single-day Tours

Bookings can be transferred once, free of charge, within a year of the original booking date, provided the transfer request is made at least 14 days prior to the departure date. Additional transfer requests may incur administrative fees and are subject to approval.

8. Cancellation by the Company

All of our retreats and tours take place in wilderness and alpine settings. We are at the mercy of nature in all her beauty and all her fury. We will under no circumstance knowingly place at risk the health and well-being of our guests and guides. In the case of a Force Majeure Event (as defined in condition 22), we may need to cancel a retreat/tour with very little notice. In some cases, this can occur after the experience has commenced.

If a retreat or tour does not meet minimum numbers, the Company reserves the right to cancel the departure; however every effort will be made to consolidate numbers so that the booked experience will successfully depart. Your flexibility in this regard would be appreciated.

If we need to cancel a retreat/tour departure for any reason, we will provide you with the following options:

  • We can hold a credit towards an alternative booking departure date to be used within 24 months, including a guarantee that there will be no additional charges for the future experience

  • Provide a replacement retreat/tour that complements your existing travel arrangements (subject to availability)

  • Provide a replacement experience at a later date convenient to both parties

  • With the exception of cancellations associated with a Force Majeure Event, we will refund your booking payment for the cancelled experience

Where your retreat/tour is cancelled by the Company, we will not be liable for any costs associated with travel to and from the designated departure pick up point. We therefore strongly recommend travel insurance be taken out at the time of booking.

9. Adverse Weather Conditions

The safety and enjoyment of the group are K7 Adventures' top priorities. In the event of adverse weather, the guide will have the final say in determining whether the trip itinerary needs to be adjusted for safety reasons.

Potential Adjustments: Your guide may propose alternatives such as:

  • Adjusting the route to a more sheltered area

  • Modifying activities to suit conditions

  • Rescheduling the trip to a later date when conditions are more favourable

Important Notes:

  • Routes, campsites, and activities may change based on weather and safety considerations. These possibilities are outlined in the pre-trip information sheets and during safety briefings.

  • K7 Adventures rarely cancels trips outright. Instead, we adapt to ensure a safe and enjoyable experience for all participants.

  • Refund requests made independently by participants based on weather forecasts will not be honoured, as it is up to the guide to determine whether conditions are unsuitable.

10. Evacuations

In rare circumstances, due to injury or unforeseen illness, we may need to evacuate you from a remote part of the retreat/tour. Where an evacuation is deemed necessary by the Company, the full cost of evacuation will be borne by the guest, including but not limited to helicopter costs, any associated staff wages, and ground transportation costs.

For Australian residents, under the Australian Government Medicare Act, it is prohibited for any domestic travel insurance product to provide any financial reimbursement with regard to ambulance or air ambulance services.

We therefore strongly recommend guests:

  • Take out specific ambulance cover through their health insurance provider

  • Take out travel insurance to cover (amongst other things) the costs associated with evacuation and emergency medical expenses

11. Travel Insurance

When selecting a travel insurance product, please ensure that it provides cover against, at a minimum, personal accidents or injury, medical expenses, Force Majeure Events, emergency repatriation and personal liability, cancellation for any reason including bereavement, delayed flights, lost luggage and personal effects.

We strongly recommend that all guests obtain suitable travel insurance once your deposit payment is made. Travel insurance is mandatory for all international trips.

You must provide proof of travel insurance before international trips commence.

12. Health and Fitness Requirements

All guests must complete a fitness questionnaire as part of the booking process.

It is your responsibility to read through the itinerary carefully and ensure you have adequate fitness for the proposed trip.

Guests must be in good health and have the appropriate physical and mental fitness to maintain a good pace for the duration of their retreat/tour. Some training and preparation work is required prior to departure. The more physically and mentally prepared you are, the more enjoyable your experience will be.

Specific fitness requirements and preparation recommendations can be found in guest trip notes and by speaking with our reservations staff.

No guest should present for the start of trip if they are unwell and symptoms would impact their ability to complete the experience safely. Guides or other trip leaders may choose to evacuate a guest if they have concerns about the ability of guests to complete the trip safely due to illness.

The Company reserves the right in its absolute discretion to refuse a guest the right to participate in a trip on medical or fitness grounds.

13. Medical Forms and Doctor's Certificates

Guests with a pre-existing medical condition, including allergies, are required to disclose it in the booking portal and may be required to supply a doctor's certificate where risk is elevated due to our experiences operating in remote locations.

Guests who are 70 years of age or older, at the time of departure, must supply a doctor's certificate, no later than 90 days prior to departure, stating that they are in good physical condition and that there are no known ailments or pre-existing medical conditions likely to prevent them from completing the experience. This step assists us to ensure an enjoyable and trouble-free experience for all involved, as risk is elevated due to our experiences operating in remote locations.

14. Dietary Requirements

Dietary requirements stating whether it is a lifestyle choice or allergy must be noted on the booking form. We will endeavour to cater to your needs, but we operate in remote locations which in some cases are only provisioned infrequently.

If dietary requirements are not disclosed at least 90 days prior to your departure date we may not be able to cater to your needs. Should you need to cancel your trip because you have not disclosed dietary requirements in a timely manner, standard cancellation fees will apply (refer to condition 6).

15. Equipment and Footwear Requirements

Guests are required to bring appropriate equipment and footwear as specified in pre-trip information. For alpine and wilderness experiences:

  • Supportive hiking boots or walking shoes with firm treaded soles are required

  • Waterproof or water-resistant boots are strongly recommended

  • New boots should be worn in prior to the commencement of the experience

  • Sandshoes and similar casual footwear are not acceptable for wilderness treks

These recommendations are made in the interests of your safety and giving you the best chance to have the most enjoyable experience possible. Arriving on the day of departure with inappropriate footwear or equipment may result in forfeiting your experience without refund. If you are unsure whether your equipment is suitable for your intended trip, please contact our reservations team for further advice.

For telemark skiing experiences, specific equipment requirements will be provided in advance. K7 Adventures is Australia's only telemark ski provider for schools and can assist with equipment hire where specified.

16. Guide and Guest Responsibilities

All our retreats and tours are group experiences and guests need to be conscious of how their actions may impact others. All guests and staff must be respectful and mindful of people's differences, including protected attributes such as race, gender identity and religion. Guests must be able to understand and follow safety instructions given in English or be travelling with a guest who is able to.

The Company's guides and facilitators take their roles and responsibilities seriously and if for any reason the trip leader believes, in their absolute discretion, that you should not participate in the trip, they may exclude you from the trip. In this event, without prejudice to any other condition in these terms and conditions, you may be offered the option of taking another experience considered suitable for you or a partial refund. The trip leader includes both the nominated lead guide and any other person nominated by or on behalf of the Company to lead or supervise any aspect of the trip.

The trip leader is in charge to ensure not only your safety, but the comfort, safety and enjoyment of the entire group. If for any reason during a trip the nominated trip leader considers you should not participate further due to you committing an illegal act, or in the opinion of the nominated leader, your behaviour is causing or may cause danger, distress or annoyance to others, the nominated leader may direct you not to continue on the trip and you must follow their instructions. In this case you will not be entitled to any refund. Travel insurance may compensate you depending on the circumstances (and the terms and conditions of the relevant policy).

17. Environmental Responsibilities

The Company operates within National Parks and alpine environments. Therefore, our environmental responsibilities are taken very seriously. Prior to departure, you will be briefed about such responsibilities, however prior knowledge and awareness is extremely helpful.

18. Indemnity

You hereby agree to indemnify and at all times hereafter keep indemnified and hold harmless the Company, its related entities and its and their officers, employees, guides, servants and agents or any of them (Indemnified Persons) from and against all costs, claims, actions, demands and liability whatsoever and howsoever arising from or in any way connected with the retreat/tour and your participation in the experience (including any transportation to or from the area in which the experience is to take place) including such costs, claims, actions, demands or statutory duty or otherwise on the part of the Indemnified Persons, and including any liability in respect of or related to your death, personal injury, or loss of or damage to any property owned or possessed by you, but excluding any liability which cannot be excluded by applicable laws. The Company holds the benefit of any rights accruing to the Indemnified Persons under this paragraph on trust for the Indemnified Persons, and you acknowledge and agree that the Company can enforce such rights in its own name or in the name of the Indemnified Persons as their trustee.

19. Exclusion of Liability

Guests acknowledge that participating in wilderness, alpine, and adventure activities is potentially dangerous and guests are undertaking such activities at their own risk. Guests acknowledge and agree that they will undertake the experience freely, voluntarily and absolutely at their own risk and with a full appreciation of the nature and extent of all risks involved. Guests acknowledge that the Company is supplying them with Recreational Services (as defined in condition 22) for the purposes of applicable laws.

Guests agree to the fullest extent permitted by law to waive all of their legal rights of action against and fully release the Company and its officers, directors, employees, servants, agents or consultants from all liability arising from or connected with their death or personal injury howsoever arising out of or in relation to their participation in a retreat/tour including without limitation, liability for a negligent or tortuous act or omission, breach of duty, breach of contract or breach of statutory duty on the part of the Company, its officers, directors, employees, servants, agents or consultants. This waiver shall bind all guests and their legal personal representatives.

20. Limitation of Liability

The Company does not exclude or limit the application of any provision of any statute (including the Competition and Consumer Act 2010 (Cth)) where to do so would:

  • Contravene that statute; or

  • Cause any part of these terms and conditions to be void

Except to the extent the above applies, and to the extent permitted by law, the Company excludes all:

  • Statutory liability

  • Tortious liability (including negligence)

  • Conditions and warranties implied by custom, the general law or statute

  • Liability for all special, indirect, incidental, consequential or punitive damage and economic loss, loss of profits, loss of revenue, loss of bargain, loss of goodwill, loss of anticipated savings, or loss of use of products or equipment, arising out of or relating to these terms and conditions, the experience, or any failure to supply or delay in supplying the experience, whether or not the Company was aware or should have been aware of the possibility of such loss or damage

The Company's liability to guests for any breach of any express or implied provision of these terms and conditions is limited, at the Company's option, to:

  • Refunding the price of the services in respect of which the breach occurred; or

  • Providing those services again

Guests agree to indemnify and hold harmless the Company and each of its officers, directors, employees, servants, agents or consultants against any losses, costs, claims, damages, expenses, liabilities, proceedings or demands which any of them may directly or indirectly incur or suffer as a consequence of any breach by them of their obligations under these terms and conditions.

21. Jurisdiction

The laws of New South Wales, Australia govern these terms and conditions. Any disputes arising from this agreement will be subject to the jurisdiction of New South Wales courts.

22. Definitions

"Force Majeure Event" refers to an event(s) or circumstance(s) which includes, but is not limited to, acts of God, natural threats (such as bush fires, floods, avalanches, impassable snow and unsafe conditions), fire, earthquake, windstorm or other extreme weather events, civil commotion, riot, blockade or embargo, breakdown, epidemic, pandemic, lack or failure of courses of supply, passage of any law, order, regulation, ordinance, proclamation, demand, requisition or requirement or any other act of any government authority, outside of the reasonable control of either parties whether or not foreseeable, which renders performance impossible.

"Recreational Services" means services that consist of participation in a sporting activity or a similar leisure-time pursuit; or any other activity that:

  • Involves a significant degree of physical exertion or physical risk; and

  • Is undertaken for the purposes of recreation, enjoyment or leisure

23. Acknowledgement

By placing a booking with the Company, guests acknowledge and agree that the Company has relied on the representations made by you, including in respect of your circumstances, travel insurance availability, age and medical condition which representations you hereby confirm and warrant are true, correct and complete in every respect.
